BACKGROUND

The client runs government services across more than 12 federal agencies under a complete prohibition on public AI tools.

THE OPPORTUNITY

Strict rules and the absence of sanctioned tools or written guidance made non-use of AI the rational choice. The client needed a governed way to capture AI productivity within existing workflows while preserving its zero-tolerance compliance posture.

OUR APPROACH

Ajaia structured the engagement in phases, advancing adoption and governance control together from the outset, with one organizing principle throughout: give employees the confidence and competence to use AI correctly inside a zero-tolerance compliance environment.

1. Enterprise AI Awareness. Organization-wide AI training sessions established a shared foundation: what AI is and where it creates value, and how to evaluate approved versus restricted tools. The sessions also set out what responsible use looks like inside a highly regulated, confidential environment.

A phased engagement that advanced adoption and governance control together, from awareness to agent-based automation.

Sanctioned Private Environment. A private AI environment meeting security and compliance requirements gave employees an approved path that did not exist before.

Compliance-First Safe Use. Responsible use built into the program architecture from day one: hallucination awareness, output validation, and review standards.

Agent-Based Workflow Redesign. Employees learned to identify repetitive workflows and safely move them into agent-supported processes inside compliance boundaries.

RESULTS

Through the engagement with Ajaia, the agency gained access to a private, customized AI environment. Employees gained AI knowledge and confidence enabling efficient and compliant adoptions. Employees went from a baseline AI confidence score of 2 out of 10 on compliant AI use to 8.5 out of 10. Adoption reached 97% with 0 compliance breaches. Teams moved beyond basic usage into workflow redesign and agent-based automation, and the organization now operates a durable, governed AI model internally.
